Invoicing
SmartOffice easily generates invoices from proposals. There are two methods one can use to create an invoice: use the one-click progress payment function to bill customers in installments as products come in and work is completed or, create a line item invoice created directly from items listed in the proposal.
Manage your invoices for the entire company or for individual clients. The screen below shows all the invoices for this particular company. The color-coded boxes indicate whether the invoice has been paid or when it will be due. This provides a quick reference as to how your cash flow will be in the next thirty, sixty or ninety days. This page also indicates if the entire bill has been paid or just a portion. Select, view and edit each invoice as payments come in.
The integrated change order system eliminates the account reconciliation step that typically can tie up key accounting or sales staff. As soon as a change order is entered, the accounts receivable is updated and current. If you own the QuickBooks module for SmartOffice, you can post your invoices directly into QuickBooks, eliminating redundant data entry.
Print or Email
SmartOffice generates accurate invoices quickly and easily. Invoices can be printed and mailed or can be emailed directly. If you decide to print out a copy to mail to a client, SmartOffice lets you indicate that this has been done. This allows you to keep track of which invoices have been sent and when they left your office. If you decide to email an invoice, SmartOffice will store a record of when it was sent. SmartOffice is fully intergrated with Outlook and a communications history is one of the most important benefits.
