SmartOffice Control Integration with Control4If you were at CEDIA and you stopped by Simply Reliable’s booth you began hearing the term “Control Integration.” Well what exactly are we talking about you might ask. It has always been Simply Reliable’s philosophy to remove redundant tasks in our client’s everyday work flow as much as possible. It is equally important to help companies ensure accuracy in delivering the end result to their clients. And, to another point the goal to predict profitability of projects, measuring their success by how close that prediction holds true, and creating a repeatable process is also very close to Simply Reliable’s mission.
This is where control integration comes in. Once you have gone through the work of creating a proposal, regardless of which control system you sell, you must virtually repeat the process again by inputting the same data into a control system’s proprietary software. Simply Reliable has changed that paradigm forever beginning with our control integration of Control4.
The process can now go as follows; once a proposal is accepted the salesperson, an office assistant, or whomever you choose can turn your proposal into a Composer project within a few minutes. Then hand it off to the programmer for connections and custom programming. You can even name the light loads and other devices, map their location to a different room or area as in the case of the foyer containing a light switch for the front porch, and SmartOffice keeps all that info sorted.
You may have projects out there in Control4 already. Now you can import those into SmartOffice and turn them into a proposal. This could be a great way of creating a template for future jobs. Once in SmartOffice you now have all the benefits of the best project management and business software available to assist you in managing your business.

Setting Up APD 3.0

Fast Deletion
Holding down the control key (ctrl) and clicking any deletion button, that is a red circle with a white ‘x’ through it, will delete a record* automatically.
This is good to use when deleting a mass amount of records.
Be aware that there will not be a pop-up window asking if you are sure that you want to delete each record.
Records cannot be recovered after being deleted.
*Records are any contacts, proposals, work orders, products, etc.
SmartOffice Feature of the Week – Product Status Report
A little while back we had a request to add a report showing any product that was scheduled on a work order but had not been received yet. We thought to ourselves, Great Idea! So we did just that.
We thought that this information might be valuable in if used in many different ways so we added it to several sections. First if you navigate to a work order and look at the task list you will see the status of every product needed to complete that work order. You will see a green flag for any item that has been received to the warehouse or delivered to the client. You will see a red flag for any item that has not been received. If you see a black flag that means that particular product is not needed for this work order (it is installed in a different phase). You should also see the actual status of the product. If it says “No Activity” that means that it has not been requested yet. If it says “Requested” it has been requested but not ordered. You get the idea.
We have also added a report to show you this information. You will see a button on the right hand side of the screen that says product status report. This will show you a printed report of the same information. And we have added this report to the work order reports screen so that you can see the report for all of the work orders for a client or over a date range. This will be helpful to see if the work orders that you have scheduled for that week are ready to go.
Lastly we have added this report to the Proposal Reports screen. This will give you the ability to see the status of all of the products for a specific project.
We think that these are invaluable reports and we hope that you find them helpful. I would like to thank Mike and the guys from Cytexone in New York City for the help in developing this feature.
***Note: You may see black flags on these reports and are not sure why. It is most likely because you do not have the phases set for the product. Or you may not be using the same name for the phases and the labor types. The flags will only show if there is a match between the labor type of the line item on the work order and the phase in which the product is delivered on the proposal.
