Invoice - Payment Stub by Default
Originally a user had to hold the control key down and click “View Invoice” to generate an Invoice with a Payment Stub.(This still works)
Now you can set the Payment Stub by default.
Navigate to the Invoicing and WO Preferences screen by following this tab order: My SRS - Preferences - Accounting - Invoicing / WO’s.
Check the box next to Invoice Stub to include payment stub on invoice by default.
The Payment Stub will be located at the bottom of the first page of the Invoice.
This Payment Stub gives the options to:
1. Check a Payment Method
2. Fill in Check information
3. Fill in Credit Card information.
4. A Signature box

Improved List View - Purchase Orders
A new and improved list view has been added for Purchase Orders.
Navigate to POs - Select/Edit PO. Click the button “Expand List” in the upper right hand corner to view the new list view.
The improved list view allows you to “Show All” and “Quick Search” similar to the contact and product list views.
There are nine ways to sort the new list.
The available sorts are PO #, Vendor, Job, Status, Date, Need In Hand, Shipping, Terms, and Total Cost.

Improved List View - Invoices
A new and improved list view has been added for Invoices - List All Clients.
Navigate to Invoices - List All Clients. Click the button “Expand List” in the lower right hand corner to view the new list view.
The improved list view allows you to “Show All” and “Quick Search” similar to the contact and product list views.
There are eight ways to sort the new list.
The available sorts are Bill To, Client, Invoice #, Total, Payment Amt, Balance, Date, and Description.
All of the same data from the original list view is displayed in the new list view.

ReAllocation - Improved
ReAllocation has been improved!
Delivered items are no longer displayed in the “take area”.
Items on Purchase Orders(not tied to a project) are now available to reallocate.
Quick Note about ReAllocation:
This feature is used to reassign products, that have been ordered or received , from one project to another.
Select the project that needs the item.
Navigate to ReAllocation(Inventory - ReAllocate).
Select the item in the top list.
Available products will display in the bottom list.
Click the “take” button next to the item you want to reallocate to the selected proposal.

Proposal Reports - New Filter
There are several ways to filter Proposal Reports.
You can filter by zone, discipline, subzone, make and phase.
There is also the ability to filter by proposal only, proposal & related change orders, and project summary.
Now you can filter proposal & related change orders and project summary by proposal status.
The button “Set” is located in the bottom right of the “Line Item Filters” box.
A pop-up allows you to select one, multiple, or all proposal statuses.
All you have to do next is choose a filtered report and click “Display Selected Report”.

Labor Rate Setup
Labor Rate Setup is assigned on the Proposal Setup 2 page.
Follow this tab order to reach the Proposal Setup 2 page:
My SRS - Preferences - Proposal - Proposal 2.
You have the ability to adjust the name of each of the 6 labor types.
You also have the ability to adjust the Cost and Selling for each labor type.
There is also an option to setup the auto calculation for Project Management(Labor 6).
Setting a percentage here will allow the auto calculation as long as Labor 6 is not specified or is left blank in Labor Detail.
Modifying these settings will effect all new proposals.
Labor Cost can be changed for an individual Proposal/Project.
To modify the Labor Cost for a specific Proposal/Project navigate to Job Cost.
First select the Project then navigate to Job Cost.
Labor Type and Labor Cost is located at the bottom of the second row.
The Labor Cost field is modifiable and will only effect the selected Proposal.
QuickBooks - Sync Payments
Are you currently using the QuickBooks integration within SRS SmartOffice?
Are you posting invoices over to QuickBooks?
You no longer have to wait to post invoices to QuickBooks because of payments.
You no longer have to manually edit invoices in QuickBooks to add payments.
There is now a button for QuickBooks Sync Payments.
This is located in the Post Invoices to QuickBooks section ( My SRS - QuickBooks - Post Invoices).
This feature will allow you to enter payments in SRS as needed and sync with QuickBooks as needed.
It’s easy to know the last time that payments were synced with SRS by a time stamp above the sync button.
New Reports
Two reports have been added to SRS SmartOffice. The two reports are Invoice Cost and Delivery Cost Report.
The Invoice Cost report is located by following this path: Invoices > Reports > Invoice Cost.
This report is based on the cost of items on an invoice or the percentage of the total estimate project costs(progress invoices)
The Invoice Cost report includes the following: Date, Invoice Number, Description, Total, Payment, Balance, and Cost.
The Delivery Cost Report is located by following this path: Inventory > Inventory Reports > Delivery Cost Report.
This report is based on items that have been scanned as delivered or returned.
The Delivery Cost Report is specified by a date range.
The following are included in this report: Ticket Date, Transaction Type, Quantity, Make, Sku, and Ext. Delivery Cost.
Alternate Room Mapping in Control4 Export
The Control4 Integration feature allows you to automatically create a project in composer from SRS SmartOffice.
However, Control4 allows for different buildings and multiple levels.
There is an easy way to alternately map rooms in the Control4 Export.
Select your proposal/project.
Then click on the Control Integration tab.
This will give you two options: setup or export project.
Choose the setup section.
The setup screen will list the proposals for the selected contact.
To the right of this list you have a few options.
Your first option is to add buildings.
Your second option is to add floors.
You are also able to add which building the floor is associated with.
Your third option is to assign floors to zones.
Zones from the proposal will be listed.
Please contact tech support if you would like Control4 Integration activated.
Related Contacts
In SRS SmartOffice you have the option to relate contacts with other contacts.
This is easy to do.
Select the main contact from your contact list.
Select the tab “Related Contacts”.
There will be a list of all your contacts on the left hand side.
Find a contact that you would like to relate and click the plus sign next to their name.
Now the player is located in the list to the right.
You can click the “Sel” button to select the contact.
Both contacts name will appear above the list on the right.
You have the option to choose how they are related.
For example:
Joe - Client
Bob - Builder
Now that you have contacts related you can have one of those contacts as an Alternate Bill To.
Having the main contact selected you may navigate to the tab “Additional Info”.
This screen has a field labeled “Alt Bill To”.
Clicking in the white space next to the label will populate a list of the contacts that are related.
You may choose one of these contacts to be the Alternate Bill To.
This is a great feature if you need to bill the builder instead of the contact.
